Migrate to GoHighLevel Without Losing a Single Lead
Contacts, custom fields, tags, pipeline stages, notes, templates and automations moved from your current CRM into GoHighLevel — rebuilt properly rather than copied, and run in parallel for two weeks before anything is switched off.
A CSV import is not a migration
Exporting contacts and importing them into GoHighLevel takes twenty minutes, and it is where most failed migrations begin. The contacts arrive; the context does not. Deal stages collapse into a single tag, custom fields land as free text, ten years of notes are missing, and the automations that quietly ran the business — the reminder that fires on day three, the reactivation email at day ninety — were never written down, so nobody rebuilds them until a customer notices.
A real migration starts with an inventory of what the old system actually does: every field and what it is used for, every pipeline and what each stage means, every active automation and what triggers it, every integration that reads or writes data. Then it maps each of those onto a GoHighLevel equivalent — sometimes one-to-one, sometimes redesigned because GHL does it differently and better.
Only then do we move data, in a staged run: a sample first to validate the mapping, then the full set, with a reconciliation report showing counts matched on both sides. The old and new systems run side by side for two weeks with leads flowing into both. When the numbers agree and your team is comfortable, we switch — and we keep the old export in case anyone ever needs it. Agencies moving several clients at once should look at our white-label service.

What a migration covers
Migration Audit & Field Mapping
A complete inventory of fields, tags, pipelines, automations and integrations in the source CRM, mapped onto GoHighLevel with every redesign decision written down.
Data Migration & Reconciliation
Contacts, companies, opportunities, notes, tasks and custom-field history moved in staged runs, with count-matched reconciliation on every object type.
Automation Rebuild
Every active sequence, trigger and internal notification rebuilt natively in GHL workflows — including the ones nobody remembered, rediscovered during the audit.
Integration Re-wiring
Forms, calendars, ad platforms, payment processors, call tracking and Zapier or Make connections repointed to GoHighLevel and tested end to end.
Parallel Run & Cutover
Two weeks of both systems receiving live leads with a daily comparison, then a scheduled cutover with the DNS, number-porting and email-authentication steps handled.
Team Training & Handover
Recorded, role-specific training for sales and admin users, plus a written "where did X go?" guide for the first month.
What you receive
- Field, tag and pipeline mapping document
- Reconciliation report — record counts by object, source versus GoHighLevel
- Rebuilt workflows with a test log for each one
- Integration checklist with pass/fail per connection
- Cutover plan with rollback steps
- An archived export of the source system
- 30 days of post-cutover support
Six steps, no lost leads
Nothing changes for your team until cutover day, and cutover day is one you choose.
Inventory
We document what the old CRM does — including the automations nobody has looked at in years.
Map & redesign
Each object and flow gets a GoHighLevel equivalent; anything that should change gets a written decision.
Sample run
A subset migrates first so the mapping is validated on real records.
Full migration
All data moved and reconciled; workflows rebuilt and tested.
Parallel run
Two weeks with both systems live, compared daily. Then cutover on a scheduled day, with 30 days of support behind it.
Is this the right service for you?
We would rather tell you now than three weeks in.
A good fit if…
- You are paying for a CRM, an email tool, a scheduler, a texting app and a review tool that GoHighLevel replaces together
- Your current CRM holds years of notes and history you cannot afford to lose
- Automations run the business and nobody has a complete list of them
- You tried a do-it-yourself import and are now cleaning up duplicates
Probably not, if…
- You have under 500 contacts and no automations — a guided import is enough, and we will show you how
- You need features GoHighLevel does not have (complex quoting, ERP-level inventory) — we will tell you in the audit
- You want the switch done overnight with no parallel period
From $2,549, fixed once scope is signed
A full CRM migration is included in the GHL Growth System package ($2,549–$5,000). Large or multi-system migrations are quoted after the audit, always as one fixed number.
Questions we are asked most
Which CRMs can you migrate from?
HubSpot, Keap/Infusionsoft, ActiveCampaign, Pipedrive, Close, Zoho, Salesforce, Mailchimp, Kartra, ClickFunnels and spreadsheets are the common ones. If it can export data, we can map it; the audit confirms what will move cleanly and what needs to be redesigned.
Will we lose our notes and history?
No. Notes, tasks, activity history and custom-field values are migrated with the contact wherever the source system exports them. Some systems truncate or lock certain history — we identify that in the audit so there are no surprises after cutover.
How long does a CRM migration take?
A single-CRM migration with a modest set of automations typically runs three to four weeks including the two-week parallel run. Multi-tool consolidations run six to eight.
Can we keep working during the migration?
Yes. Nothing changes for your team until cutover. During the parallel run new leads flow into both systems; your team keeps working in the old one while we validate the new one against it.
What happens to our phone numbers and email deliverability?
Numbers are ported or forwarded on a schedule so nothing goes unanswered. Email and SMS authentication — SPF, DKIM, DMARC and A2P 10DLC registration — is set up in advance and warmed, so deliverability does not collapse the day you switch.
Do you migrate clients for agencies?
Yes. We run migrations for agencies moving their clients onto GoHighLevel, under the agency's brand and with an NDA as standard. See white-label GoHighLevel.
